Groover Labs Member Handbook

For us all to coexist in a shared space, it is essential we all understand behavior and use expectations. You will have access to many benefits and services while at Groover Labs. For everyone to enjoy the benefits and services to which they are entitled by their membership, please be mindful of others as you go about your day at Groover Labs. Basically, treat Groover Labs property, other members, and their property as you would wish to be treated.

We are trying to keep the number of rules to a minimum and we’ve left some things off this list that our attorney would probably like us to include. We’d like to cultivate an environment of collaboration and trust. If we find we need to add rules because issues come up, we will do that and notify you accordingly.

General

  1. You acknowledge that no trade or occupation will be conducted in Groover Labs or use made thereof which will be unlawful, improper or offensive, or contrary to any law or any municipal by-law or ordinance in force in the location where Groover Labs is located.

  2. If you don’t comply with these basic member rules, Groover Labs staff will remind you of their existence. If you continue to violate these rules, Groover Labs may revoke your membership at its sole discretion.

  3. If something is amiss in the building, please notify Groover Labs staff. 

Security

  1. It is important that we all know everyone in the building is authorized to be there. You will receive a badge upon joining Groover Labs. You must wear the badge whenever you are in the building.

  2. You are part of the security team at Groover Labs. If you see someone you don’t recognize and who isn’t wearing a badge, please ask to see their badge, or notify a member of the Groover Labs staff.

  3. You will receive an access card or key when you sign up that will allow you to get into Groover Labs at times according to the membership you select. If your card or badge is lost or stolen, please notify Groover Labs staff immediately.

  4. The doors are open during regular business hours Monday-Friday, as well as some weekend hours. They will always be locked after hours. Do not do anything to allow the doors to be unlocked for any notable length of time without the permission of a member of the Groover Labs staff. If you believe that a door is not locked when you leave Groover Labs, please notify a member of the Groover Labs staff of the situation. Sleeping overnight is not allowed.

  5. If the membership level you select does not entitle you to 24/7 access, you won’t be able to enter Groover Labs prior to regular opening times and you’ll be asked to leave the building at closing time or when your membership requires unless you are a guest of a Member whose Membership permits 24/7 access and you are here for a meeting with them and they are acting as your host. Please be cooperative and plan accordingly with your work.

  6. We have security cameras placed around the building. These are for your protection as well as ours. Security footage is not actively monitored, but if an adverse event occurs, Groover Labs can access the relevant footage.

Benefits and Services

  1. You will have access to many benefits and services while at Groover Labs. Some will be metered and some will not. Please be reasonable in your use of unmetered services.

  2. You have access to conference rooms as needed per the reservation system in use. We currently do not monitor the hours used, so we just ask you to be considerate of other members. We reserve the right to set limits and charge for overages in the future, if circumstances dictate. We expect any limits to accommodate reasonable use for nearly all members. Short, informal uses of the conference rooms and classrooms will not be monitored, regardless of limits.

  3. Access to the event space and maker space is by separate agreements.

Noise

  1. Groover Labs is not a library, and collaboration is encouraged, but please be mindful of the folks around you. Generally, if someone has their headphones on, please respect their privacy.

  2. When making a quick call please use one of our phone booths. No need to book; they are first come, first served. 

Mail

  1. Members who have private offices and dedicated desks may have mail and packages delivered to Groover Labs. We will place your mail in a folder designated for you or your company in the mail room and will shelve packages in a shared package retrieval area.

  2. We endeavor to handle your mail and packages with care, and it is not expected that items will be lost, damaged, delayed, mis-delivered, or stolen. Given the shared nature of Groover Labs, we cannot ensure that these things won’t happen. You agree to accept the risk that these things could happen, and that Groover Labs will not be liable for the same.

  3.  We will not confirm your use of Groover Labs for Google Maps by responding to any information/confirmation request by Google.

  4. You are responsible for forwarding mail once you leave Groover Labs.

Harassment

We have zero tolerance for harassing our Members or guests of Groover Labs.  Members or guests violating the anti-harassment policy will be sanctioned or expelled from the space or the event at the sole discretion of Groover Labs. We want to make sure that everyone has a harassment free experience, regardless of gender, race, ethnicity, religion, disability, sexual orientation, gender identity, or physical appearance. Harassment may include,but is not limited to, offensive verbal comments, sexual images in public spaces, deliberate intimidation, stalking, following, photography or recording without consent, sustained disruption of talks or other events, inappropriate physical conduct, and unwelcome sexual attention. Individuals asked to stop any harassing behavior are expected to comply immediately. Any behavior or action experienced asharassment will be responded to as such. If you are being harassed, or notice that someone else is being harassed, please report it immediately to Groover Labs staff.

Guests

Feel free to invite friends or guests for lunch, a quick meeting, or just to say hello. It is okay for your guests to have a cup of coffee every now and then, but please don’t be unreasonable. If your guest is going to be here for more than an hour, we will ask that they pay for a daily pass. Guests are required to adhere to the rules of Groover Labs.

Food, Alcohol, Smoking, and Weapons

  1. The refrigerators are primarily for storing the day's food, beverages, and some occasional leftovers from events. The refrigerators will be cleaned out each Friday.

  2. Please be mindful of food consumption and disposal while at Groover Labs. Food waste invites vermin, which no one wants to see. Limit food consumption while walking around, clean up after you’ve eaten at your desk, and dispose of food waste in containers supplied by Groover Labs.

  3. If you bring in dishes, please wash and remove them from the kitchen after use.

  4. Groover Labs may from time to time sponsor a Friday afternoon “happy hour”. Consumption is at your own discretion. Please be responsible and respectful of others.

  5. Tobacco products, including electronic cigarettes or smoking devices are not allowed in Groover Labs.

  6. No weapons of any kind are permitted in Groover Labs, except for pocketknives and other similar tools used for opening packages and such.

 Storage

  1. Depending on the Membership Option you select, Groover Labs may provide secured storage to hold your belongings. Groover Labs is not responsible for items left in storage.

  2. Please do not leave property on or around the hot seats when you will not be working there that day. Take home what you bring in or discuss potential storage options with Groover Labs Leadership. Every morning or evening the hot seats will be cleared of items, which will be deposited in an area for collection.

Shower

  1. Groover Labs provides a shower for those biking in to work or who wish to exercise during theworkday.

  2. You are responsible for providing your own towel and toiletries.

  3. Please wipe down the shower with your towel when you are done and be considerate of others who will come after you.

  4. You must remove all your belongings from the shower room after use.

  5. Please don’t drape your wet towel on Groover Labs furniture.

  6. We also invite you to join the Downtown YMCA, just a few blocks from our building.

 Pets

Pets are not allowed at Groover Labs. We understand you have the best dog in the world, but not everyone would agree. Please leave Rover at home. 

Furniture and Equipment

  1. You may bring your own office chair and other small miscellaneous pieces of furniture, if you can keep it within the confines of the space designated as yours by your membership.

  2. You may not replace Groover Labs office furniture with your own.
